Over the years we have learned that a cookie cutter approach to management services does not always work with larger portfolios, multi-family properties and investment groups. Our decades of experience and internal systems have helped us develop a Dynamic Portfolio Management System that we can tailor to each client's needs and economic situation.

 

D.P.M.S. allows you to select our services to fit yours needs for a particular project or portfolio. We use a la carte menu type set up which allows you to keep costs low by selecting only the services your project requires. Our system is flexible enough that services can be added or removed as the dynamics of your portfolio change. Our D.P.M.S. will ease the operational challenges that usually come with operating in several different markets by standardizing the process with one central management system.

Standard Services

 

Commission Rates:

     Single Family Portfolios/Projects - Starting at 5% (of collected rent)

     Multi-Family Portfolios/Projects - Starting at 3% (of collected rent)


Set Up:

  • Enter all lease and property information into on-line management software
  • Set up owner portal for real time portfolio access
  • Scan and upload all documents to on-line portal
  • Contact all existing tenants and housing authorities for transfer
  • Review tenant ledgers and balances
  • Set up tenant on-line portals for rent payments and maintenance requests
  • Provide written Policy/Procedure manual for on-site local staff

 

Management:

  • Collect Rent
  • Provide all bookkeeping (income/expenses) with real-time online reports
  • Provide monthly customizable statements that can be exported to most accounting software
  • Provide year-end tax reporting and statements
  • Central point of contact for all tenants via toll free number
  • Receive and track all maintenance requests
  • Interface with housing assistance programs
  • Coordinate Renewal leases when existing leases expire
  • Provide attorney reviewed and updated lease documents
  • Coordinate lease signing / closings
  • Oversee move-in checklist and inspections
  • Security Deposit compliance

A La Carte Services


The below services are established for either a one-time consulting fee or additional ongoing management fee. Fees will be established after initial project consultation.


Set-Up:

  • Review and establish annual operating budgets and projections
  • Develop turnaround strategy for distressed properties
  • Consultation on property evaluation and acquisition
  • Coordinate utility account transfer
  • Coordinate municipality record transfer (rental registration)

 

Management:

  • Complete Move in/ Move out inspection reports and procedures
  • Bill processing and payments

 

Maintenance: 

  • Provide on-call maintenance - 24 hour emergency
  • Rent up repairs
  • Rehab Services
  • Set up and over see on-going services (trash, lawn, etc.)

 

Legal:

  • Attorney review of insurance coverage and exposure
  • On-staff attorney for evictions at preferred rates
  • Hearing appearances
  • Property tax appeals
  • Portfolio exposure analysis
  • Send Demand notices (when tenants don't pay rent)
  • Provide local attorney with a monthly "Cases to File" report
  • Provide local attorney with tenant ledgers and other necessary documents for court cases (very by state)

 

Marketing:

  • Listing of vacant properties/units on web site and affiliates (42 national websites)
  • List available units with housing assistance authorities
  • Receive and track all calls (by location /ad campaign) through central call center and toll free numbers
  • Provide monthly "Campaign Results" report Schedule showing appointments for local agents
  • Provide showing feedback reports and emails Applicant screening and credit checks
